Create a host-paid event
A host-paid event is hidden from your public schedule and booked by a single host who covers the whole event, rather than each attendee paying. Use this for private bookings like a company session, a birthday, or a group who sends one person to arrange and pay.
You need the owner, manager, or staff role. Staff can create the event but cannot publish it.
Before you start
Have at least one location and one room/resource set up. Room is required.
Decide how the host will pay: online, manually, or free.
Steps
1. In the sidebar, go to Schedule -> Events.
2. Click Create event.
3. Choose Host private and click Next.
4. Under When & where, set the Location, Date, Start and End time, and Room/resource.
5. Under Details, enter a Title, and optionally set Capacity, a staff owner, a description, or an internal note.
6. Under Payment, choose How the host pays:
- Online - the host pays through a checkout link. Host email is required so Ferb can send it.
- Manual - you record payment yourself (for example a bank transfer or cash).
- Free - no charge.
7. Add the host by searching for an existing member, or type their full email to use it. Optionally set the Host price.
8. Optionally turn on Guest share link so the host can share an overview link with their guests.
9. Click Create draft.
What happens
The event is saved as a draft. When you publish the schedule week:
Online: Ferb creates a host checkout link and the event stays Pending payment until the host pays, then becomes Confirmed.
Manual or Free: the event is confirmed without an online payment.
The guest share link, if enabled, is an overview of the event details only - guests do not sign up or pay through it.
Notes
Only the host pays. There is no per-attendee checkout on this event type.
An event is a single occurrence. Create one per date for repeat bookings.
Troubleshooting
The event is stuck on Pending payment. With online payment, it stays there until the host completes checkout. Resend the host their link, or switch to manual if they paid another way.
"Host email is required." Online host payment needs a host email; add one or choose manual or free.
You cannot publish. Only owners and managers can publish; ask one to publish your draft.
