Cancel a class
When you cancel a booked class, Ferb cancels every attendee's booking, restores their credits, refunds any payments, and emails the members. You can cancel in a couple of clicks from the schedule view, or as part of editing the schedule.
You need the owner or manager role. Managers can only cancel classes at their assigned locations. Cancelling a booked class cannot be undone once published.
Cancel a booked class
There are two ways to cancel. Both show you the impact - spots, credits returned, and the amount refunded - and ask you to confirm before anything happens.
Quickest: from the schedule view
Go to Schedule -> Overview and click the class.
Click Cancel class.
Review the cancellation impact and, if you like, add a Cancellation message for the email.
Confirm by typing the phrase shown, for example CANCEL 3 BOOKINGS (or CANCEL 1 BOOKING for a single booking).
From the schedule editor
Go to Schedule -> Overview and click Edit schedule. Choose a location if you are asked.
Right-click the class and choose Cancel / refund class. For a class with no bookings this reads Remove class and simply deletes it.
Review the Cancellation impact and click Next step.
On Email preview, optionally add a Cancellation message, then click Continue to review.
Click Publish, type the confirmation phrase, then click Publish and notify.
What happens
Every attendee's booking is cancelled.
Credits and class passes are restored immediately.
Card payments are refunded automatically through Stripe. This runs in the background and can take a little while to appear; refunds retry for up to an hour if needed.
Members are emailed about the cancellation, including your optional message.
If your studio has SMS turned on, members also receive a text version of the cancellation. See Set up SMS.
The class stays on the schedule with a Cancelled badge so members can see it was cancelled.
Partner bookings
Some people book your classes through a partner, outside Ferb (for example Bruce). When your cancellation includes partner bookings, the review flags them so it is clear Ferb is not the one refunding or emailing those members - the partner handles that on their side, following their own cancellation procedure.
A flagged booking shows either Will cancel via [partner] - for example Will cancel via Bruce - or Needs manual review. Needs manual review simply means Ferb cannot know that partner's exact refund and notification steps, so it does not assume them. Either way, rest assured the partner receives everything it needs from Ferb and takes care of refunding and informing the member. Partners sync your Ferb schedule regularly - Bruce, for example, checks about once an hour - so your cancellation reaches them without any extra step from you.
Notes
There is no option to cancel a class silently - the cancellation email, and an SMS if you have SMS enabled, are part of the flow.
Cancelling cannot be undone once you confirm it. In the editor, you can still restore or discard the cancellation before you publish.
Waitlisted members are not automatically moved or notified.
A class that has already started (is in the past) cannot be cancelled this way. Right-clicking still shows Cancel / refund class, but it opens a separate incident-resolution flow where you pick a reason, for example the teacher did not show up. It applies immediately rather than on publish.
Troubleshooting
You cannot publish the cancellation. Only owners and managers can publish; staff can view the schedule but not publish changes.
"Schedule locked." Someone else is editing the schedule. You can view it, but you will need to wait for them to leave or take over editing.
The confirmation will not accept your text. Type the phrase exactly as shown, including the number and in capitals.
A message says bookings changed. Bookings changed while the review was open. Re-review the cancellation before publishing.
A refund has not shown up yet. Credits are restored instantly, but card refunds process in the background and can take 1-3 business days to reach the member.
