Understand how substitutions work
The Ferb Staff app lets teachers hand off a class they cannot make to another teacher. As an owner or manager, it helps to know the flow, because you may need to approve substitutions and you control the settings that shape them.
The flow
1. A teacher who cannot make a class starts a substitution in the Ferb Staff app, in one of two ways:
- Open shift - the class is posted to your studio's open-shifts board, and any eligible teacher can pick it up.
- Direct swap request - a private request to one specific teacher.
2. Another teacher accepts it.
3. What happens next depends on your auto-approve setting for that location:
- Auto-approve on - the class is reassigned to the accepting teacher immediately.
- Auto-approve off - it waits for a manager to approve or reject.
4. On approval, the class is reassigned to the new teacher, and the booked members are emailed that the class teacher changed.
If a manager rejects a substitution, the class goes back on the open-shifts board for someone else; the class is not cancelled.
Your part as owner or manager
You approve or reject pending substitutions from the app's Inbox. See Approve or reject a substitution.
You control two per-location settings: whether substitutions auto-approve, and who is notified when an open shift is posted. See Configure substitution and staff-app settings.
Teachers use the substitution features in the Ferb Staff app. See Get your teachers onto the Ferb Staff app.
